IBAM:
It was nice to meeting those able to attend the welcome drop-in session last week.  For those unable to attend, Vicky Ellis-Bailey will be putting a call in your dairy, so we can introduce you to IBAM and to ensure you have met your IBAM on-site team.

Contracts:
IQ will be issuing 30-day termination notices on your current contract from Tuesday 2nd April. Once we have confirmation that you or your umbrella has received your termination notice we will issue you with your new IBAM contract. We anticipate issuing new contracts in the first week of April. This will only affect contractors directly engaged by us not via an umbrella company. If your services are being provided via an umbrella company, we will be emailing your umbrella company directly with the new contract.

Timesheets and Payments:
You should continue to submit timesheets to InterQuest through their InTime system up to 30th April. 
We will be sending you log-ins to our online system, which is called TSP towards the middle of April, but this should only be used from 1st May.

Between now and 1st May, we will continue to provide you with brief weekly updates in preparation for IBAM's assumption of Insight’s contractor management and recruitment service from InterQuest.

Umbrella company vs IBAM in-house – ACTION REQUIRED 
Before 27th March, we need you to confirm in writing whether you wish to stay with your current umbrella provider or be set up on IBAM PAYE.

In the UK, opting for an umbrella setup means you're employed by a separate company to handle payroll and taxes, offering flexibility and support. IBAM can manage these tasks directly, simplifying tax deductions and the supply chain. While IBAM's payroll service is free, umbrella companies typically charge £100 monthly. However, IBAM lacks the pension flexibility of umbrellas. We offer salary sacrifice and pension contribution options but do not specify providers. 

Please email Vicky Ellis-Bailey clearly stating if your wish to use IBAM’s in-house PAYE or your preferred umbrella provider. 

Our IBAM support team are on hand to answer any additional questions you may have.

Over the coming weeks, we may need to collect some data from you. This could be necessary for direct payments to you, for reporting obligations under HMRC’s employment intermediaries reporting requirements, or simply for communication purposes.

The type of data we require includes your home address, personal email address, mobile/cell number, date of birth, gender, and NI number. While we have some of this data from, it may not be complete, especially for those engaged through UK umbrella companies

Welcome
IBAM Consulting would like to offer a warm welcome to all of you that will be transferring from IQ to IBAM on the 30th April.

As part of the welcome our on-site team will be booking 15 minutes in your diary so they can introduce themselves, provide information about the changes and answer any questions you may have.
In addition, our on-site team will be hosting a drop-in welcome session in Room 2 at the QVS office in London on Wednesday 20th March where our team will be on hand to help with any enquiries you may have.

Contracts
As you are engaged via InterQuest directly or indirectly via an umbrella company you will receive a termination notice from them because your contract (or your umbrella company’s contract) with InterQuest will cease on 30st April 2024.

You (or your umbrella company) will be receiving a new contract from IBAM with effect from 1st May 2024, which will run to the end date you had previously agreed with Insight/InterQuest. We expect to issue these contracts in early April 2023. There is no need to worry if you have not received a contract before then.

You should continue to submit timesheets to InterQuest through their InTime system up to 30th April. In the last week of April, we will be sending you log-ins to our online system, which is called TSP, but this should only be used from 1st May.
Umbrella companies

We have been working with all umbrella companies used by InterQuest already and have a roadmap in place for the agreement of contracts between IBAM and these companies. We do not anticipate any problems in this regard.

Umbrella company vs IBAM in-house decision

In the UK, opting for an umbrella setup means you're employed by a separate company to handle your payroll and taxes, offering flexibility and administrative support. On the other hand, IBAM can also fulfil this role directly, deducting taxes directly from your salary, ensuring simplicity and compliance with tax regulations and simplifying the supply chain.

 

IBAM payroll is provided free of charge whereas umbrellas companies typically charge you around £100 pm for their payroll service; however, IBAM does not offer the pension flexibility of the umbrella model.

 

We offer salary sacrifice and flexibility in the amount you can contribute to pension, but not which pension provider you can use. An IBAM PAYE calculator can be accessed here so you can understand what you might receive by being paid direct by us and compare this to your umbrella company take home pay.

 

Before April, we need you to confirm whether you wish to stay with your current umbrella provider or be set up on IBAM PAYE. Our IBAM implementation team is on hand to answer any questions you may have about which option is best for you.

 

We’ve included some information on our pay dates and timesheet submission process on our microsite FAQs for this project. The URL is www.ibamconsulting.com/insight and the password is “Insight2024” to access.

Our overall aim is to ensure a smooth transition from InterQuest to ourselves.

Contracts (this is repeated from last week’s comms)

All contracts have now been sent out, either to UK umbrella companies if you are engaged by one of these, or direct to yourselves in you are on a PAYE contract with us. If you are engaged through a third party agency, either in the UK or US, we have also sent contracts between IBAM and the agencies and your contract will continue to be with the agency.

If you have any queries on your contract, please liaise with your umbrella company, ourselves or your agency as relevant.

If you are engaged directly with IBAM or via a UK umbrella company but don’t think you have received a new contract yet, please contact us urgently. We will be follow up on any unsigned contract today/tomorrow.

Our Team

They are both in the London office today and tomorrow, sitting in the HR area, continuing their handover and training with Neelo. If you happen to be in the London office and have any queries, they’ll be happy to meet you.

Over the next week, she will be handing over to Scott and Victoria extensions under discussion and all other matters.

As we mentioned last week, we expect to issue new contracts next week. This will only apply to contractors directly engaged by us, either directly or via an umbrella company. If your services are being provided via an umbrella company, we will be emailing your umbrella company directly with the new contract.

Your Personal Data
We may need to collect some data on you over the coming week, either because we need this to pay you directly, or because we need to hold this data and report it as part of our obligations under HMRC’s employment intermediaries reporting requirements, or because it is helpful to have your contact details for communication purposes.

The sort of data we will need includes your home address, personal email address, mobile/cell number, date of birth, gender and NI number. Whilst we have some of this data from InterQuest and from the calls we have been having with each of you, it is not complete, particularly for those engaged through UK umbrella companies. InterQuest cannot guarantee the data they hold in these situations is up to date, so to be certain we have the correct data, we will need to ask you to provide it again.

Please watch out for a form which we might email you over the coming week. If we do not email you, it means we have your data and are confident that it is correct and up to date, in which case we will email you separately with the data we have been given and ask you to notify us if it is incorrect.

Contracts
If you are engaged via InterQuest directly or via one of InterQuest’s payment intermediaries (e.g. a UK umbrella company), as opposed to being engaged by a third party recruitment agency, you will have received a termination notice a week ago, because your contract (or your umbrella company’s contract) with InterQuest will cease on 31st October 2023.

You (or your umbrella company) will be receiving a new contract from IBAM with effect from 1st November 2023, which will run to the end date you had previously agreed with Insight/InterQuest. We expect to issue these contracts in the week commencing 16th October 2023. There is no need to worry if you have not received a contract before then. (This is because we are in the middle of setting up a new contractor management system for Insight and your contracts will be issued directly from this system).

 

Timesheets and Payments
You should continue to submit timesheets to InterQuest through their InTime system up to 31st October. In the last week of October, we will be sending you log ins to our online system, which is called TSP, but this should only be used from 1st November.

Umbrella companies and other agencies
We have now been in touch will most UK umbrella companies used by InterQuest and all third party agencies (whether in the UK or the US), to introduce ourselves but also to make arrangements for the agreement of contracts between IBAM and these companies.

Our overall aim is to ensure a smooth transition from InterQuest to ourselves.
